Adding and Editing Individual Patron Accounts
Use the Patrons area to add a single student or staff account and update an existing manually managed account.
This article is intended for library staff with access to the ePlatform Admin area. For adding or updating multiple accounts, use the bulk-import process instead.

Before you begin
Confirm that:
- you have administrator access to your ePlatform portal;
- the patron will use a manually managed ePlatform account;
- you have the patron information required by your library; and
- you know whether your library uses age or year-level restrictions.
If your patrons are managed through SSO, SIP2, LDAP, or an API connection, review your integration process before adding or editing an account manually.
Open the Patrons page
- Sign in to your library's ePlatform portal as an administrator.
- Open the Admin area.
- Select Patrons.

The main navigation path is: Admin area → Patrons.
Add an individual patron
- Open Admin area → Patrons.
- Select Add Patron.
- Enter the patron information requested by the form.
- Review the sign-in details carefully.
- Save the new patron account.
Use Add Patron for a single student or staff member. If you need to create several accounts, use Patrons → Import / Update Patrons.
Patron account information
Confirmed patron account information includes:

| Barcode or username | The identifier the patron uses for a manually managed account. This information is compulsory for manual patron records. |
| Name | Check that the patron can be identified correctly in the patron list. |
| Role | Record the appropriate role where your library uses this information. |
| Year Level | Include the correct year level if your library uses year-level content restrictions. |
| Date of Birth | Include the correct date of birth if your library uses age-based content restrictions. |
Name, Role, Year Level, and Date of Birth are optional in the documented manual patron data format. However, Year Level or Date of Birth is required if your library relies on the corresponding information for content restrictions.
Edit an existing patron
- Open Admin area → Patrons.
- Locate the patron in the patron list.
- Select the patron account.
- Review the information currently recorded.
- Update the required fields.
- Save the changes.
Check Year Level and Date of Birth carefully when editing an account. These details can affect which restricted titles the patron can access.
Test the patron account
After creating a new manually managed account:
- Record the sign-in method and details created for the patron.
- Sign out of the Admin account.
- Open the reader-facing ePlatform library.
- Sign in using the new patron account.
- Confirm that the account can access the expected library content.
- Borrow an available title to confirm that borrowing works.

Accounts managed by an integration
Patron accounts may also be created or updated through an automated connection such as SSO, SIP2, LDAP, or an API.
If the account is managed through one of these connections, contact your school's IT administrator or review the relevant integration guide before changing the account manually.
Frequently asked questions
Why does ePlatform say a username already exists when I cannot find the patron?
Do not create a different username as a workaround. Contact ePlatform Support with your library name and the affected Barcode or username so the team can check the existing record. Do not include the patron’s password.
